2. Information we collect
Newsletter information
When you request a newsletter subscription, we collect your email address and create an audit record containing the subscription timestamp, verification status, verification-email timestamp, whether the hosting mail system accepted the message, verification timestamp, last verification-attempt timestamp and resend count.
For security and verification, we temporarily store a one-way hash of the verification token and a pseudonymous hash derived from the request IP address. We do not store the raw verification token in the CSV file, and the stored IP value is not the original IP address.
Hosting logs
Our hosting provider may automatically process technical information such as IP address, requested page, browser details, timestamps and security events in standard server logs. This information supports website delivery, troubleshooting and abuse prevention.
Contact-form information
When you contact us, we process your name, verified email address, subject and message. The system also records a submission identifier, submission and verification timestamps, message length, a pseudonymous IP hash, a limited user-agent string and whether notification emails were accepted by the hosting mail system. Temporary verification records include a hashed one-time code, attempt count, expiry time and rate-limit information.
3. How we use information
- To send and verify newsletter subscription requests.
- To maintain an accurate list of verified subscribers.
- To prevent duplicate subscriptions, spam and abuse.
- To notify the website administrator when a subscription is verified.
- To operate, secure and troubleshoot the website.
- To comply with applicable legal obligations.
4. Consent and verification
Newsletter subscription is voluntary and uses a double-opt-in process. Submitting the form creates a pending record. The subscription becomes active only after you open the verification link sent to the submitted address within 24 hours.
If an address is already verified, submitting it again does not send another verification email. Every subscription confirmation provides a secure unsubscribe link. You may withdraw consent through that link or the contact form. We retain a limited suppression record when reasonably necessary to honour the request and prevent accidental resubscription.
5. Email-delivery records
The field recording that a verification email was “accepted” means Hostinger’s built-in mail system accepted the sending request. It does not prove inbox delivery, opening or reading. WayToWhy.com does not currently use tracking pixels to record newsletter opens.
6. Storage and security
Subscriber records are stored in a CSV file outside the website’s public document directory on the hosting account. They are not intended to have a public web address. The system uses file locking, input validation, hashed verification tokens, double opt-in and rate limiting to reduce unauthorised access and abuse.
No internet service can guarantee absolute security. If we become aware of an incident affecting personal information, we will respond as required by applicable law.
7. Service providers and disclosure
Hostinger provides website hosting and the built-in email-sending infrastructure and therefore processes information needed to provide those services. We may also disclose information when required by law, to protect the website and its users, or in connection with a legitimate transfer of website ownership. We do not sell subscriber email addresses.
8. Retention
Verified subscription information is retained while the subscription remains active and for a reasonable period afterward where needed for suppression, security, record-keeping or legal obligations. Expired, pending and failed-verification records may be retained temporarily for troubleshooting and abuse prevention.
Temporary contact-verification and rate-limit records are intended for short-term security and troubleshooting use. Security and email audit logs are rotated when they reach an operational size limit. Contact messages are retained for up to 12 months and then reviewed for deletion unless a longer period is reasonably required for an ongoing conversation, legal obligation or security matter. You may request deletion through the contact form.
9. Cookies and analytics
WayToWhy.com does not currently declare the use of advertising cookies or third-party behavioural analytics. The hosting provider may use essential technical mechanisms and server logs required to deliver and secure the website. This policy will be updated before materially different tracking is introduced.
10. Your choices and rights
Subject to applicable law, you may ask whether we hold your personal information and request access, correction, deletion or withdrawal of newsletter consent. Use the contact form with the relevant verified address so we can reasonably verify the request.
11. Children’s privacy
The website and newsletter are intended for a general audience and are not knowingly directed toward children. If you believe a child has submitted personal information without appropriate authorisation, contact us so it can be reviewed and removed.
12. Changes to this policy
We may revise this policy when the website, newsletter practices or legal requirements change. The effective date at the top of the page will be updated when material changes are published.
